Attendance
Staff clock in and out from the browser or a shared physical kiosk; managers watch who's on-site live, compare the schedule against what actually happened, and correct or report on the underlying entries.
What this module is for
My Attendance is open to every staff member; the management and IT-oriented screens narrow from there.
Who uses it
Every staff member clocks in/out from My Attendance. Dashboard, Live, and Timetable open to directors, department heads, HR managers, nurse managers, and charge nurses. Analytics, Entries, Employee Month, and Reports narrow further to admin/director/HR-manager tiers. Devices is IT-admin-only. The Kiosk terminal has no login at all, by design.
Where to find it
Open Attendance from the sidebar. A dashboard, plus My Attendance, Live, Timetable, Analytics, Devices, Entries, Employee Month, and Reports.
- 1
Set up a kiosk
IT registers a physical device and copies its one-time token into the kiosk's setup screen.
- 2
Clock in
Staff clock in/out from the browser, or at a shared kiosk by name + personal PIN.
- 3
Watch and compare
Managers see who's on-site live, and compare the week's schedule against actual clock times on the Timetable.
- 4
Correct and report
HR revokes bad entries with a documented reason, and runs exportable reports for payroll or compliance.
A few terms you'll see throughout
Dashboard
A management snapshot of today's attendance plus recent trends.
Stat tiles
| Field | What it means |
|---|---|
| Scheduled Today, On Time, Clocked In Now, Avg Hours Today | |
| Late Today, Absent Today | Highlighted whenever greater than zero. |
An Attendance Trend line chart (Present/Late/Absent) and a By Department stacked bar chart, both scoped to a chosen date range.
My attendance
Self-service clock in/out from the browser, open to every staff member.
One large Clock In / Clock Out button, a 14-day history table, and a Kiosk PIN panel to set the 4–6 digit code used at physical clock stations.
Live status
A real-time board of who's on-site right now, auto-refreshing every 15 seconds.
Each row shows name, department, employee ID, time since clock-in, and the clock-in source (Kiosk with device label, or Web). An amber "Late Xm" badge appears for late arrivals.
Timetable
A weekly grid comparing each staff member's scheduled shifts against what actually happened.
Rows are staff, columns are days; each cell shows a status badge plus the scheduled time and, if late, extra minutes. A Manage Shifts link jumps to Staff Directory's shift editor.
Scheduled — not yet resolved
Present — worked as scheduled
Late — clocked in late
Absent — scheduled but never clocked in
Analytics
Deeper lateness and hours-worked analysis for HR leadership.
Late Arrivals by Department and Avg Hours by Department bar charts, plus a Top Late Arrivals (Staff) table ranking individuals by times-late and total late minutes.
Devices
Register and manage the physical kiosk hardware, IT-admin-only.
"Register Device" form
| Field | What it means |
|---|---|
| Device Code, Location Label* | E.g. "KIOSK-MAIN-01", "Main Entrance". |
The device token is shown exactly once
Entries
Search all raw clock-in/out records and correct erroneous ones.
Search by staff name or employee ID within a date range. Revoke requires a typed reason and is described as permanent, the entry stays visible (struck through) but is excluded from hours and payroll totals.
Open — still clocked in
Closed — completed clock-out
Revoked — invalidated, excluded from totals
Employee month
One staff member's full month, day by day, against their schedule.
Search a staff member, pick a month, and review five summary stats (Scheduled, Present, Late, Absent, Total Hours) plus a day-by-day calendar. Export to Excel or PDF for payroll or a performance conversation.
Reports
Aggregate summaries and exportable reports, optionally scoped to one staff member.
Set a date range and optional Staff ID, Run Summary to preview stats on-screen, then Export Excel or Export PDF. "Group export by department" adds section headers and subtotals to the downloaded file only.
Kiosk
A public, unauthenticated terminal screen meant to run on a shared physical device at an entrance.
First-time setup asks for the Device Code and Device Token from the Devices screen, stored locally on that device. Day to day, staff type their name, pick themselves from the results, enter their PIN, and tap the auto-labeled Clock In/Clock Out button. The screen resets after 4 seconds for the next person.
Good practices
Set a kiosk PIN before relying on a shared device
Use Timetable to spot no-shows quickly, then jump to Manage Shifts
Revoking an entry is irreversible and needs a real reason
