Payroll

A Cameroon statutory payroll system: employee profiles feed monthly runs that calculate CNPS, IRPP, and other statutory charges, move through approval, and post payslips staff can view themselves alongside loans, advances, and declarations.

01

What this module is for

My Payroll is self-service for everyone; the rest is HR/finance-tier, with Tax Settings narrowed further to finance leadership.

Who uses it

Every staff member views their own pay and requests advances from My Payroll. Dashboard, Profiles, Runs, Payslips, Loans, Advance Requests, Declarations, and Analytics are limited to admins, directors, CFOs, finance managers, accountants, HR managers, and payroll admins. Tax Settings narrows further to super admins, admins, CFOs, finance managers, and accountants.

Where to find it

Open Payroll from the sidebar. A dashboard, plus Profiles, Runs, Payslips, Loans, Tax Settings, My Payroll, Advance Requests, Declarations, and Analytics.

  1. 1

    Set up a profile

Base salary, allowances, contract type, and statutory ID numbers, required before an employee can be paid.

  2. 2

    Generate and approve a run

Calculates every active profile's payslip, moves through Submit → Approve → Post to GL → Mark as Paid.

  3. 3

    Staff self-serve

Everyone views their own payslips and salary structure, and can request a salary advance.

  4. 4

    Handle loans and file declarations

Approved advances become loans deducted automatically; posted runs generate CNPS and IRPP filing documents.

A few terms you'll see throughout

CNPS is Cameroon's social security contribution, IRPP is income tax, and CFC/FNE/CAC/TDL are the other statutory charges the system calculates on every payslip.

A profile's status badge is clickable to toggle Active/Inactive directly from the list. Import CSV bulk-creates or updates profiles.

04

Payroll runs

Generate, review, approve, and pay a period's payroll for every active profile.

Generate Run picks a period and frequency, then calculates every active profile using the currently effective tax configuration. While Calculated or Pending Approval, each employee row can get an ad-hoc adjustment (Allowance/Bonus or Deduction); once Approved, payslips lock.

Lifecycle: Submit for Approval → Approve → Post to GL → Mark as Paid (requires a bank/mobile-money batch reference). Cancel is available any time before Approved. Export the register as PDF, Excel, or a Bank Transfer CSV.

Payslips

Look up any employee's full pay history and print or download an individual payslip.

Search an employee to see YTD Gross Pay, YTD Net Pay, and YTD IRPP Withheld, plus a per-period history table with Print and Download actions.

06

Loans & advances

Issue salary advances that are automatically recovered via payroll deductions each period.

"Issue Loan" form

FieldWhat it means
Employee, Principal Amount, Monthly Installment, Start Period*Installment can't exceed the principal.
Disbursed Date, Reason

Repayments deduct automatically each run from the start period until the balance reaches zero (Completed), or the loan is manually Cancelled.

07

Tax settings

The statutory rate configuration used in every payroll calculation, narrower access than the rest of the module.

Seed Cameroon Defaults loads the standard statutory rates. Each configuration card shows CNPS/CFC/FNE/CAC/TDL rates, a Professional Abatement rate, Max Family Parts, an optional CNPS Monthly Ceiling, and the progressive IRPP bracket table. Hospital-specific overrides take precedence over global defaults; update whenever Cameroon's Finance Law changes rates.

08

My payroll

Self-service for every staff member: your own salary structure, payslip history, loans, and advance requests.

"Request Salary Advance" form

FieldWhat it means
Amount Requested, Reason*
Repayment Period (months)1–24 months.

An approved request converts automatically into a loan deducted from future payslips. Pending requests can be cancelled by the employee.

09

Declarations

Official CNPS and IRPP filing documents, generated only from posted runs.

Only runs at Posted or Paid status appear here, ensuring declarations reflect finalized figures. Each period offers CNPS and IRPP declarations as Print, PDF, or CSV.

10

11

Good practices

Add adjustments before approving, not after

Bonus and deduction lines lock once a run moves past Approved, catch them while it's still Calculated or Pending Approval.

Review Advance Requests promptly

An employee's request sits Pending until HR/Finance approves or rejects it; approving picks the first deduction period right then.

Keep Tax Settings current with Cameroon's Finance Law

Every run uses whichever configuration is effective at calculation time, an out-of-date rate table means every payslip in that run is wrong.
