Telemedicine

A video visit, start to finish: scheduled with a patient and a host, joined through a waiting room, run live with chat and participant controls, documented on close, and archived for later lookup.

01

What this module is for

Open to clinical and coordinating staff; patients aren't users of this web app, they join the same call from their own mobile app.

Who uses it

Physicians, nurses, NPs/PAs, OB/GYNs, midwives, care coordinators, and directors. A visit's host, the provider who scheduled or is running it, gets extra controls (starting the call, recording, admitting from the waiting room, managing participants) that other participants don't see.

Where to find it

Open Telemedicine from the sidebar. Four screens: a dashboard, Schedule, the live Session Room, and History.

  1. 1

    Schedule

Book a patient and a host provider for a time slot, with an optional recording flag.

  2. 2

    Wait & admit

The patient joins a waiting room from the mobile app; the host admits them in.

  3. 3

    Run the visit

Video runs in an embedded call window; chat, participants, and recording consent are managed alongside it.

  4. 4

    Document & close

Ending the visit means writing it up, SOAP notes and billing codes, not just hanging up.

A few things worth knowing before you rely on this

Video runs through an embedded, keyless call window, no separate video login is needed beyond being signed into Medi360. The interface does not display any end-to-end-encryption or HIPAA-compliance claim, if your organization needs to state one, that's a statement about how the video infrastructure is deployed, not something shown on screen.
02

Dashboard

A live view of what's happening right now, auto-refreshing every 15 seconds, plus 30-day volume and quality metrics.

Stat tiles

FieldWhat it means
Live Now / Upcoming / Total Sessions
Avg Duration, Completion Rate
Avg Audio MOSMean Opinion Score, an industry-standard 1–5 call-clarity rating.
Missed VisitsHighlighted red whenever above zero.

A "Live Now" list shows in-progress calls with a pulsing indicator, click one to join. A 30-day volume chart breaks sessions into Completed, Missed, Upcoming, and Live now.

03

Scheduling a visit

Book a video visit, and manage upcoming ones for a provider (defaults to you).

"Schedule Video Visit" form

FieldWhat it means
Patient, Host Provider*
Start, End*Default to one hour from now, lasting 30 minutes.
Video Platform*Twilio Video, Zoom for Healthcare, Doxy.me, AWS Chime SDK, or Daily.co (default). This is a metadata label only, the actual call always runs in the same embedded video window regardless of which is picked.
Chief ComplaintFree text.
Grace Period (min)1–30, default 10, how long the waiting room holds before a no-show path applies.
Enable recordingCheckbox; the label itself notes it requires patient consent.

Patients get 24-hour and 1-hour reminders automatically, that's a fixed system default. Scheduled visits list with Open, Reschedule, and Cancel actions, the latter two only available while a visit is still Scheduled. Cancelling asks for a reason and can't be undone.

04

Starting the visit

Only the visit's host can start it; the patient joins a waiting room first.

Before Start Session is clicked (host-only, while Scheduled), the video area is blank. Once a patient joins from their app, an amber banner reads "Patient is waiting to be admitted", Admit Patient lets them in.

Scheduled — booked, not started

Waiting Room / In Progress — patient waiting, or call live

Completed — visit ended and documented

Missed / Cancelled / Technical Failure — didn't happen as planned

05

In the session

Live controls: recording consent, chat, participants, and ending with documentation.

Consent & recording

A "Patient consents to recording" checkbox is captured live, in the room, separately from the schedule-time flag. The host's Record button is blocked with a message if consent hasn't been recorded yet; a red "Recording" badge is visible to everyone while it's on.

Chat & participants

An in-call text chat only works while the visit is In Progress. The host can add participants (Host, Co-Host, Patient, Caregiver, Interpreter, Observer, Care Coordinator, or Scribe) and remove anyone but themself, removal asks for confirmation.

Leave just removes your own participation and is available to anyone at any time. End Visit (host-only) is different, it opens a documentation form first.

"End Visit" documentation form

FieldWhat it means
Session Notes (SOAP)Free text, optional.
ICD-10 Codes, CPT CodesComma-separated, optional.
Follow-up appointment neededCheckbox.

Ending a visit is final

Submitting the End Visit form closes out the session for good, there's no reopen. Once completed, Create FHIR Encounter links the visit into the patient's clinical record, and Export Summary PDF downloads a written record of it.
06

Session history

A searchable archive of past visits, by provider or by patient.

Toggle By Provider or By Patient, then optionally filter by status. View reopens a past session read-only; PDF is only available once a visit is Completed. The status filter narrows what's shown on the current page, page through results if you're looking for something older.

07

Good practices

Record consent before recording

The Record button is blocked without it, capture it the moment the visit starts if recording is planned.

Use the End Visit form, not just Leave

Leave only removes you from the call, it doesn't document or close out the visit, End Visit is what actually completes it.

Cancelling a scheduled visit can't be undone

Reschedule instead if the visit is still happening, just at a different time.
